QuarkXPress™ Technical Manual Project Part 5C - Output The Document

14. In the "Options" tab, there shouldn't be any differences from the example shown below.

15. There isn't anything to display in the "Preview" tab except that the printable area should go all the way to the edges of the page icon (blue outline).

16. In my setup I didn't use any color profiles in the "Printer" tab. Click "Print" when done.

17. At this point it will prompt you for a filename and location for the PostScript® file. Give it a name and click "OK".

18. Quark™ will display a status window while it is printing the document.

19. At this point you can drag and drop the PRN file onto the Distiller icon. Even if you exited Distiller, the job options that were active when the program was shut down will be in effect when the PDF file is generated.

Instructions:

1. First download and install the free Adobe Acrobat® Reader

2. If you wish to view the PDF file only, simply click on the link below

3. To download in Windows®: Place mouse pointer on the link, then right click the mouse.

For Internet Explorer®: "Save Target As..."
For Netscape®: "Save Link as..."
then save it to disk

4. To download in Mac®: Hold the mouse button down for a second or Control + Click and a pop up window will appear.

For Internet Explorer: "Download Link to Disk"
For Netscape: "Save this Link as..."
then save it to disk.

8. Save the job options for future use and give it a name.

9. Now return to the QuarkXPress session where your document is loaded.

10. Before invoking the print command, if you haven't told Quark™ where to find the Distiller PPD (PostScript® Printer Definition file) then do so now. The PPD contains all the information Distiller® needs to output the job. click Utilities > PPD Manager. In the following dialog, if it is not listed, then click the "Browse" button to locate it. Navigate to the folder that contains the PPD. When Acrobat is installed on a Windows® system, it gets placed in the \Windows\System folder. Highlight the PPD file and click "Open". In Mac® OS systems it may be located in the System Folder:Extensions:Printer Descriptions folder or the Adobe Acrobat 3.0:Xtras folder or the Adobe Acrobat 4.0:Xtras folder - depending on which version you have.

11. Next click File > Print. There will be a dialog with six tabs. In the "Printer" tab choose "Acrobat® Distiller To FILE" (or whatever the name of the Distiller printer driver is on your system).

12. In the "Setup" tab, choose the Acrobat Distiller PPD (setup in a previous step) from the "Printer Description" pulldown. This is an important step. Make sure the paper size is set for "Letter" and the orientation is "Portrait".

In this tutorial we will be using Adobe® Acrobat® Distiller® to output the file as a PDF document. It is not necessary to use Distiller to create a PDF. We will be using the File > Print command to output the file. In the screen shots below, the circled areas are where the defaults will be changed.

1. Start by launching Distiller. In this case we will be using version 4.0. It comes with several preset job options. You can use one of them as a basis for creating your own custom job options. Choose "ScreenOptimized" from the pulldown.

2. Click Settings > Job Options.

3. There are five tabs in the dialog. In the "General" tab, use the defaults.

4. Also use the defaults in the "Compression" tab.

5. In the "Fonts" tab I like to choose "Embed All Fonts" and "Subset All Embedded Fonts Below" - 100%. This will ensure that no fonts will be missing from the PDF file and by subsetting everything the file will be as small as possible. Only the actual characters used in the document will be embedded and nothing more.

6. In the "Color" tab check the box to "Leave Color Unchanged". I do this to prevent colors from being translated to RGB in a CMYK job.

79. Next you need to create the numbered bullets. These characters are available in the Zapf Dingbats font. You also can make them yourself by creating a black circle with another text box over the top of it using white text of any font of your choosing. I prefer the latter method for two reasons:
a.) You have more control over the typeface... and
b.) If the bullet is to appear over a non-white background, the Zapf Dingbat font will be transparent and you will have to place a white box under the character. However, the white box must be trapped between the the number and the black outline of the circle. It must be small enough not exceed the boundary of the circle yet large enough to cover the number.
It is a lot easier to opt for the method I suggest. After checking the alignment of the black circle and white text box, simply group them and they will stay aligned. Then copy the group to create the remaining bullets and edit each one to get the 1, 2, 3 and 4 numbers. When you have positioned them to your satisfaction, select them and copy them.

80. Paste the numbers into the gray box and reposition them until it appeals to you. Create horizontal lines using the Orthogonal Line tool and make them black with 1 point thickness.

74. Create a rectangular text box and position it over the black background created in a previous step. Set the text color to white and enter the text shown. Notice how the bottom of the text box extends below the black background.

Tip: When making reversed type, create separate objects for the background box and the type. Again, text boxes should have a minimum clearance of one x-height below the lowest descender of any character on the bottom line of the text box (otherwise it may drop out altogether when output).
75. Select the white text and in the Measurements palette, choose the URWGroteskT font and set it to 20 points bold. You can keep the default leading at "auto".

76. Create another rectangular text box in the white space below the reversed type in the approximate location shown. Select some more "lorem ipsum" from the body copy and paste it in the box. Using the Measurements palette, format the type using 12 point Helvetica with 12 points of leading. To make the lead-ins stand out, select them and click the bold type style button. The next step describes how to make the indents.

77. Press Ctrl-I (Windows®) or Cmd-I (Mac®) to toggle the invisible characters on. This is a view of the text box showing all the carriage returns. Note that the text is in one continuous block. It is all done using 12 points of leading. With careful formatting, you need not create separate text boxes for each paragraph and lead-in. Select the paragraph below the lead-in for the indent.

78. Click Style > Formats.. and in the "Formats" tab, enter 18 points for "Left Indent". Repeat this step for each of the indented paragraphs in the text box.

66. Enter the following width and height coordinates in the Measurements palette. Note that we haven't determined the y-coordinate yet.

67. Drag a new rectangle approximately in the location shown using either the Rectangular Picture Box tool or the Rectangular Text Box tool. Then click Item > Content > None.

68. Enter the following width and height coordinates in the Measurements palette then drag the box until it snaps into the guides in the lower right-hand corner.

Tip: The Item tool is used to move an item. The Content tool is used to move an item's contents. If the Content tool is selected press Ctrl-drag (Windows®) or Cmd-drag (Mac®) to move the item.

69. Click Item > Modify or double-click the new box with the Item tool. In the "Frame" tab, select a solid black outline, 1 point wide.

70. In the "Box" tab choose a black box color with a 20% tint. Click "OK" to close the dialog.

72. Click File > Get Picture. Navigate to the folder containing your images and select "screenshot.eps". In the Measurements palette, enter 75% in the x and y scale values.

73. Move the black box and the picture box into the following arrangement. Note that this can and should be done by eye. The black box is a banner for some reversed type which will be placed in front of it. It should snap to the left and right margins so it should have an x-coordinate of 36 points and a width of 540 points. You will only be moving it up or down.

62. Highlight the text in the box. Using the same technique for formatting the text in the previous text box on page two (see step 41 on a previous page), use 12 point Helvetica Italic with 12 points of leading.

Tip: When pasting text, all the formatting of the copied text is pasted with it. This can be a real time-saver when entering new text from the keyboard or pasting unformatted text from a plain (ascii) text file. Simply paste a few characters of the pre-formatted text into the box, then enter or paste the new text.

63. Drag the bottom center handle of the right-hand text box upwards until there are three lines of text showing in the paragraph following the subhead. Note that measurements are not important here. This can be done by eye.

Tip: Nudge in 1-point increments using an arrow key. Nudge in 1/10th point increments with Alt-arrow (Windows®) or Option-arrow (Mac®).

Caution: If you use the Item tool and try to drag this group downwards, the x-coordinate it will likely be changed. If you want to use the Item tool to drag it downwards then hold down the Shift key while dragging to maintain alignment. If you make a mistake while nudging with the arrow key, you can simply nudge it back.
